How to use Invoice It once you are registered

How do I create an invoice?

Web:

Go to the ‘Customer invoices’ tab and click the ‘Create invoice’ button. If you’ve connected Sage, Quickbooks or Xero to Invoice It, an invoice will be created in your account with them. If not, an invoice will be created in Invoice It.

App:

You can only create an invoice in the Invoice It app if you have connected Sage, Quickbooks or Xero. Go to the ‘Get paid’ tab and select the + button.

How do I send an invoice to my customer?

Web:

You can email customers a ‘payment request’ with a link to the invoice. Choose an unpaid invoice from the list and follow the onscreen instructions.

App:

You can only send an invoice in the Invoice It app if you have connected Sage, Quickbooks or Xero. From the app, you can email, text (SMS) or WhatsApp customers a ‘payment request’ with a link to the invoice. Choose an unpaid invoice from the list and follow the onscreen instructions.

Can I send a payment request without an invoice and still get paid?

Web:

Every payment request must be linked to an invoice. The invoice can be in Sage, Quickbooks or Xero, or it can be created using the Invoice It invoice template.

App:

If you have connected Sage, Quickbooks or Xero every payment request must be linked to an invoice. If you do not have accounting software, you can send a payment request without an invoice.

How do I see a list of all my invoices?

Web:

You can see your invoices in the ‘Customer invoices’ tab.

App:

You can only see your invoices in the app if Sage, Quickbooks or Xero is connected. Tap the + button on the ‘Get paid’ tab.

Can I issue an invoice to a customer outside the UK?

Yes. Please note, to pay the invoice via a payment request your customer must have a UK bank account. If the request is sent by text (SMS) it must be sent to a UK number.

You will need to provide your IBAN number, Swift / BIC  Code, account name / address and Metro Bank’s address to your customer.

How do I mark an invoice as void?

You can mark an invoice as void in Sage, Quickbooks or Xero if you have connected one of these to Invoice It.

Web:

Click ‘View invoice’ on the ‘Customer invoices’ tab. An invoice can only be marked as void if it is in draft.

App:

You cannot mark an invoice as void in the Invoice It app.

How do I write off an invoice?

You cannot write off an invoice in Invoice It. You can write off an invoice in Sage, Quickbooks or Xero if you have connected one of these to Invoice It.

How are my invoices organised?

Web:

Find your invoices in the ‘Customer invoices’ tab, with the most recent at the top by default.

You can choose to sort your invoices by due date (old to new, or new to old) or by amount (high to low, or low to high).

App:

This will only work if you have connected Sage, Quickbooks or Xero to the Invoice It app. Go to the ‘Get paid’ tab and tap ‘ +’ to see your invoices, with the most recent at the top by default.

How do I add or change my company logo on invoices?

You can update your logo in Sage, Quickbooks or Xero if you have connected it to Invoice It.

Web:

Go to ‘Settings’, then the ‘Organisation tab’ and ‘Edit organisation details’. Your logo can be up to 5MB and in any of the following formats:

  • PNG
  • JPG
  • JPEG
Will payments into my account reconcile automatically to invoices?

If your customer pays after clicking on an invoice link in a payment request, their payment will automatically reconcile to an invoice, either in Sage, Quickbooks or Xero (if you have linked one of these) or in Invoice It. If your customer pays a different way, the payment will not automatically reconcile.

How do I reconcile a cash payment to an invoice?

Web:

Choose the payment in the ‘Payment request’ tab, and check ‘Mark as paid’. If you have connected Sage, Quickbooks or Xero to Invoice It, you will also need to mark it as paid there.

App:

Choose the payment in the ‘Get paid’ tab, and tap ‘Update status to paid’. If you have connected Sage, Quickbooks or Xero to Invoice It, you will also need to update the invoice to paid in the accounting package.

What if a payment is reconciled to the wrong invoice?

This can’t happen because the invoice and payment request are linked.

What is the difference between an Invoice and a payment request?

An invoice shows a list of goods or services provided, and the amount due.

A payment request is a message requesting payment, either with or without a link to an invoice.

How do I schedule payment reminders to be sent to customers?

Web:

When you are creating a payment request, tick ‘Due date reminder’ to set up notifications for that request.

App:

When you are creating a payment request, tick ‘Overdue reminder’ to set up notifications for that request.

How do I see what money is owed to me and by who?

Web:

Go to the ‘Payment requests’ tab.

App:

Go to the ‘Get paid’ tab.

How will my customers know that my payment request isn’t a scam email or message?

The payment request will include your company name and contact details.

The app has a ‘Heads up’ feature: The first time you send a payment request to a new customer, you can also send a text (SMS) alert if you have their UK mobile number, to let them know you have started using Invoice It.

BankiFi provides a tile that you can use on your social media channels, to let customers know that you use Invoice It.
